General terms – Algemene voorwaarden VEGAN SUMMER FEST 2024
The original version is the one in Dutch and if a conflict or discrepancy occurs between the Dutch and English versions, the Dutch version prevails and takes precedence over the English one.

1. Each product you sell at Vegan Summer Fest has to be vegan. Animal products are not allowed to be used or sold. Should you fail to abide by this rule your stall will be closed immediately and payments to BE Vegan will not be reimbursed.

Elk product dat je verkoopt op Vegan Summer Fest dient vegan te zijn. Dierlijke producten worden niet gebruikt of verkocht. Indien je niet aan deze voorwaarde voldoet zal je stand onmiddellijk worden gesloten, betalingen aan BE Vegan zullen niet worden terugbetaald.

2. Each food truck and food stall will donate 7 free meals for the volunteers of Vegan Summer Fest. BE Vegan will make 7 food tickets per food truck or food stall. The volunteers can use these tickets to order a free meal.

Elke foodtruck en foodstand doneert 7 gratis maaltijden aan Vegan Summer Fest, voor vrijwilligers. BE Vegan zal zelf 7 bonnen maken per food stand of truck. De vrijwilligers kunnen deze bonnen gebruiken om een gratis maaltijd te bekomen.

3. Each stall or food truck needs to abide by legal requirements, safety and hygiene regulations, insurance and licences. BE Vegan will not be held responsible for theft or loss of income. No fee will be reimbursed should the fire department find you in contempt of the rules.

Elke stand dient te voldoen aan de wettelijke voorzieningen, veiligheids- en hygiënevoorschriften en beschikken over de nodige verzekeringen en vergunningen. BE Vegan kan niet aansprakelijk gehouden worden voor diefstal of het verlies van inkomsten. In geen geval worden betalingen terugbetaald wanneer de brandweer je in overtreding vindt en/of je de vermelde documenten niet kan voorleggen.

4. No food truck or stall is allowed to sell beverages, beer, smoothies or drinks of any kind. Unless agreed upon with BE Vegan beforehand.

Een foodtruck of stand mag geen drank (bier, frisdrank, sapjes, smoothies…) verkopen. Tenzij met BE Vegan op voorhand overeengekomen.

5. Working with gas tanks indoors is prohibited. Burning candles are not allowed.

Gasflessen of andere containers met gas mogen niet gebruikt worden in de hal van Flanders Expo. Brandende kaarsen zijn niet toegelaten.

6. Each food stall or food truck needs to supply its own officially approved fire extinguisher (5 kg CO2) and a fire blanket.

Elke foodstand of truck dient een gekeurd brandblusapparaat van 5 kg CO2 te voorzien en een branddeken in de nabijheid hebben.

7. Extension cords and couplers should be in perfect condition and should be able to withstand at least 3500W/230V.

Verlengkabels en verdeelstekkers dienen in perfecte staat te verkeren en moeten geschikt zijn voor minstens 3500W/230V.

8. We recommend working exclusively with electrical energy in your kitchen. The Ghent fire brigade can inspect the food trucks and takes strict action if gas installations do not comply with the safety regulations or if you cannot provide a correct Belgian inspection certificate. Gas installations can only be used outdoors.

We raden aan om uitsluitend met elektrische energie te werken in je keuken. De brandweer van Gent kan de foodtrucks inspecteren en treedt streng op wanneer gasinstallaties niet voldoen aan de veiligheidsvoorschriften of indien je geen juist Belgisch keuringscertificaat kan voorleggen. Gasinstallaties kunnen enkel in de buitenruimte gebruikt worden.

9. Each fryer must have a lid if it is of the household type with a maximum capacity of 3 litres.

Elke frituurpan moet uitgerust zijn met een deksel voor zover deze van het huishoudelijke type is met max. 3 liter inhoud.

10. The build up of the stall and food truck should take place between 8 a.m. and 10 a.m. on the date of Vegan Summer Fest or on specific hours the day before (hours will be confirmed). If you’re late you will not be allowed to set up your stand and your fee will not be reimbursed. Each stall or food truck has to wait until 21h to finish. Even if you’re sold out, you still need to wait to break down your stall. The location needs to be vacated by 23h00. If you start dismantling earlier than 9pm, BE Vegan may charge you a fine of €250.

De opbouw van uw stand of foodtruck dient tussen 8u en 10u te gebeuren op de dag van Vegan Summer Fest of op specifieke uren de dag voordien (deze worden nog bevestigd). Het afbreken van de stand/foodtruck is pas toegestaan vanaf 21u, bent u vroeger uitverkocht dient u toch te wachten met de afbraak. De afbraak dient om 23u voltooid te zijn. Indien u vroeger start met de afbraak dan 21u, kan BE Vegan u een boete aanrekenen van €250.

11. Each stall and food truck needs to be nicely decorated. We provide tables and chairs only, no partition walls or carpets.

Elke stand/foodtruck dient aantrekkelijk te zijn ingericht. We voorzien stoelen en tafels, géén scheidingswanden of tapijt.

12. Should BE Vegan be forced to cancel the event in case of force majeure, payments made to BE Vegan will not be reimbursed and no compensation will be paid.

Indien de organisator genoodzaakt is om, omwille van overmacht (niet limitatief: terroristische aanslag, storm…), Vegan Summer Fest te annuleren, wordt het betaalde standgeld/bedrag niet terugbetaald, zonder dat de standhouder enige schadevergoeding kan eisen onder welke vorm ook.

13. Waste disposal: each entrepreneur will collaborate with BE Vegan to make Vegan Summer Fest as environmentally friendly and waste-free as possible. Each stall and food truck is responsible to clear up their own garbage. No garbage can be left behind at the venue.

Afvalverwerking: iedere standhouder en foodtruckuitbater zal meewerken om samen met BE Vegan van Vegan Summer Fest een zo ecologisch en afvalarm mogelijk evenement te maken. Elke stand/foodtruck staat zelf in voor het geproduceerde afval. Het afval kan geenszins worden achtergelaten op de locatie.

14. Our festival and prices are destined for small entrepreneurs. It is therefore prohibited to sell (near to) one (international) brand exclusively or to act as the representative of the mentioned brand, unless specific authorisation is given. The conditions, prices and information are confidential.
There is a discount rate for small companies, the ‘Shop’ rate. Only companies that meet the criteria determined by BE Vegan, e.g. limited turnover, a limited number of points of sale, non-profit organisations …. are eligible for this rate. This allows small companies to be a part of Vegan Summer Fest. Larger companies make use of the ‘Brands’ rate.

Ons festival en onze tarieven zijn afgestemd op kleine ondernemers. Het is dan ook niet toegestaan om (bijna) uitsluitend producten van 1 (internationaal) bedrijf/merk te verkopen of op te treden als diens vertegenwoordiger zonder onze uitdrukkelijke goedkeuring. Alle bepalingen uit deze overeenkomst zijn strikt vertrouwelijk.
Om kleine ondernemingen de kans te geven aanwezig te zijn op Vegan Summer Fest is er een kortingstarief: het ‘Shop’ tarief. Enkel ondernemingen die voldoen aan door BE Vegan bepaalde criteria komen in aanmerking voor dit tarief. Dit tarief geldt voor ondernemingen met een beperkte omzet en met een beperkt aantal verkooppunten en voor vzw’s. Grotere ondernemingen maken gebruik van het ‘Brands’ tarief.

15. No part of the stall may be attached to the walls of the venue.

Er mag niets aan de muren van de locatie worden bevestigd.

16. The clauses for the general terms as stipulated by Flanders Expo are applicable to all vendors. We emphasize, but do not limit ourselves to, article 13.2 and 14 of ‘BIJLAGE 1: ALGEMENE VOORWAARDEN VAN DIENSTVERLENING’. The content of this appendix referring to ‘the organiser’ is applicable to all vendors.

De clausules uit de algemene voorwaarden van Flanders expo zijn ook van toepassing op de standhouders/exposanten. We benadrukken hier onder andere, zonder hiertoe te beperken, artikel 13.2 en 14 van “BIJLAGE 1: ALGEMENE VOORWAARDEN VAN DIENSTVERLENING”. Wat hierin staat over de organisator geldt ook voor de standhouder/exposant.

17. Each vendor will leave the used space in a clean and intact state. Damages, grease stains, and scratches will be brought in account according to the tarives set out by Flanders Expo.

Elke standhouder dient de gebruikte ruimte in nette en onbeschadigde staat achter te laten. Beschadigingen, krassen en vetvlekken zullen aangerekend worden volgens de tarieven van Flanders Expo.

18. The agreement is under the validity of Belgian law. Each dispute with regard to the interpretation and/or execution of the agreement will be settled by the competent courts of Gent.

Deze overeenkomst wordt door het Belgisch recht beheerst. Elk geschil met betrekking tot de interpretatie en/of uitvoering van onderhavige overeenkomst zal beslecht worden door de bevoegde rechtbanken van Gent.

19. Last minute changes in electricity requirements will result in higher electricity prices.

Last minute wijzigingen in elektriciteitsbehoefte resulteren in verhoogde prijs.

20. BE Vegan will appoint you a stall and location at the venue. This location is predetermined and not up for discussion.

BE Vegan wijst je een stand en locatie toe op de festivalsite. Deze locatie wordt op voorhand vastgelegd door BE Vegan en staat niet ter discussie.

21. Dutch is the designated language of the contract and has validity and priority. The English version solely serves the purpose of enabling communication with non-Dutch speakers.

Nederlands is geldende taal van het contract en heeft geldigheid en voorrang. De Engelstalige versie dient enkel om de communicatie te vergemakkelijken met niet-Nederlandstaligen.

22. The Early Bird fee is only applicable up until the given date. To be able to enjoy the Early Bird fee, the application has to be submitted and the due amount received. Should you have submitted the application but not paid before the given date, you will be charged the regular amount. The Early Bird fee is applicable until the thirty-first of May 2023. Additional charges will be made for last minute applications or changes.

Het Early Bird tarief is enkel van kracht vóór de bepaalde datum. Om in aanmerking te komen voor het Early Bird tarief dient de applicatie ingediend te zijn en het vereiste bedrag betaald te zijn. Indien je je applicatie hebt ingediend maar we het bedrag nog niet ontvangen hebben voor de bepaalde datum, zal je het reguliere tarief worden aangerekend. Het Early Bird tarief is van kracht tot 31 mei 2023. Er zal een bijkomende kost gerekend worden voor last minute aanmeldingen of wijzigingen.

23. Should your payment fail when submitting the application, then we consider your application invalid.

Indien je betaling faalt wanneer je je aanmelding (applicatie) indient, dan beschouwen wij de applicatie als onvoltooid.

24. Should BE Vegan consider that you have registered under an inappropriate formula, it has the right to overrule your application and annul your contract.

Indien BE Vegan oordeelt dat u geregistreerd heeft voor een formule die niet gepast is voor uw activiteit, behoudt ze het recht uw applicatie te verwerpen en het contract te annuleren.

25. It is not allowed to sell a large amount of products at a price that’s lower than the regular retail price, as a means of promotion or for any other reason, unless agreed upon by BE Vegan in writing. It is also not permitted to hand out samples. We take this measure to protect the smaller businesses present at Vegan Summer Fest.

Het uitdelen van gratis producten, sampling of het hanteren van dumpingprijzen die lager zijn dan de normale retailprijs ter promotie is niet toegelaten tenzij schriftelijk overeengekomen met BE Vegan. Deze maatregel dient ter bescherming van de kleinere ondernemingen die aanwezig zijn op Vegan Summer Fest.

26. If samples are handed out or drinks are sold without written permission of BE Vegan, BE Vegan may force you to leave the festival or charge a fine of €250.

Indien er zonder toestemming samples uitgedeeld worden of dranken worden verkocht kan BE Vegan je verplichten het festival te verlaten of een boete aanrekenen van €250.

27. Due to the current fluctuating energy prices, BE Vegan reserves the right to adjust the electricity rates according to the rise in electricity prices at Flanders Expo at the time of Vegan Summer Fest. The exhibitor agrees to pay the additional cost if prices were to increase.

Wegens de huidige schommelende energieprijzen, behoudt BE Vegan zich het recht voor om de elektriciteitstarieven aan te passen volgens de stijging van de elektriciteitsprijzen van Flanders Expo op het moment van Vegan Summer Fest. De standhouder verklaart zich akkoord met het betalen van de meerkost indien de prijzen zouden stijgen.
